  • Disciplinary and grievance information

How is your personal information collected?

We will collect this information directly from you or through our website or job advertisements. We may sometimes be required to collect additional information from third parties or other publicly available sources. Lorax Compliance Ltd will take reasonable steps to inform you it has collected your personal information from a third party.

How we will use information about you

We need certain information from you to perform our contract with you and to enable us to comply with our legal obligations. These situations may include:

  • Checking you are legally entitled to work in the UK
  • Assessing qualifications for a particular job
  • To determine your suitability for a particular job

Information about criminal convictions

We will only collect information about criminal convictions if it is appropriate given the nature of the role and where we are legally able to do so. Where appropriate, we will collect information about criminal convictions as part of the recruitment process or we may be notified of such information directly by you. We will use information about criminal convictions and offences usually where such processing is necessary to carry out our obligations and provided we do so in line with our contractual obligations to our candidates.

Who has access to your data?

Your information may be shared internally for the purposes of the recruitment process. This includes members of the HR and recruitment team and the hiring team and any interviewers involved in the hiring process.

We will not share your data with third parties unless your application for employment is successful and we make you an offer of employment. We will then share your data with former employers to obtain references for you, employment background check providers to gain necessary background checks.

How does Lorax Compliance Ltd. protect data?

We take the security of your data very seriously. We have internal policies and controls in place to ensure that your data is not lost, accidently destroyed, misused or disclosed and is not accessed except by our employees in the proper performance of their duties.

How long does Lorax Compliance Ltd. keep data?

If your application for employment is unsuccessful, we will hold your information on file for six months after the end of the relevant recruitment process. If you agree to allow us to keep your personal information on file we will hold your data on file for a further 6 months for consideration for future employment opportunities. At the end of that period or once you withdraw your consent, your data is deleted or destroyed. You will be asked when you submit your CV whether you give us your consent to hold your details for 12 months to enable us to consider you for other positions or not.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your HR file and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice.

Your rights

As a data subject you have a number of rights. You can:

  • Access and obtain a copy of your data on request
  • Require us to correct incorrect or incomplete data
  • Require the organisation to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing and,
  • Object to the processing of your data where Lorax is relying on its legitimate interests as the legal ground for processing.

What happens if you do not provide personal data?

You are under no statutory or contractual obligation to provide Lorax Compliance data during the recruitment process. However, if you do not provide the information we may not be able to process your application properly or at all.

Changes to this privacy notice

We reserve the right to update this privacy notice at any time, and we will provide you with a new privacy notice when we make any substantial updates. We may also notify you in other ways from time to time about the processing of your personal information.
